Introduction
Invite your new employees to onboard with your organisation using Xonboard. Once invited, employees will receive an invitation email containing a link to commence their onboarding session.
How-to
To invite a new employee to onboard with your organisation:
- On your dashboard, navigate to the relevant organisation tile and click Onboard employees. This is also accessible under the organisation settings menu.
- Under Invite a user to join your organisation, ensure the By email address tab is toggled.
- Enter the employee’s email address.
- (Optional) Enter the employee’s phone number. We’ll use this if we are unable to reach them by email.
- Click Next: Customise invitation.
- On the Customise employee onboarding page, customise the details to include in the onboarding invite:
- To apply a pre-configured template, click Apply a template, then select the relevant template.
- Click Fair Work Information Statements to select which Fair Work statements to send to your employee to read and acknowledge.
- Click Policies to select which company policies or documents to send to your employee to read and acknowledge.
- Once done, click Mark Complete.
- (Optional) On the summary screen, override the welcome message to be included in the invitation email.
- Click Send invite.
The employee will receive an email notification advising of the invitation to onboard. Upon following the link, they’ll be prompted to verify their email address with a code.
Xonboard will send reminder emails to the employee if they haven’t commenced their onboarding session, or if they haven’t progressed.
You can cancel an employee's onboarding at any time by visiting the dashboard, finding the employee under Employees currently onboarding, and by clicking Cancel.
Employee onboarding invitations will expire after 7 days. If they have not commenced their onboarding by then, you will need to send them a new invitation.

Review your employee’s onboarding status by visiting your dashboard and checking their progress under the Employees currently onboarding section.
