Invite an existing Xero Payroll employee to onboard with your organisation
Learn how to invite an existing employee to onboard to gather updated information 📓

Introduction

Send onboarding invitations to existing employees if you’ve already set them up in Xero Payroll and need to collect onboarding information from them. 


How-to

To invite an existing Xero Payroll employee to onboard with your Xero connected organisation:


  1. On your dashboard, navigate to the relevant organisation tile and click Onboard employees. This is also accessible under the organisation settings menu.
  2. Under Invite a user to join your organisation, click the tab Existing from your payroll.
  3. To find an existing Xero Payroll employee, type in their first and last name exactly as it appears in Xero. Xonboard will return the employee if it is able to find a match.
  4. The employees email address and phone number will populate based on their existing details, you can override this as required.
  5. Click Next: Customise invitation.
  6. On the Customise employee onboarding page, customise the details to include in the onboarding invite:
    1. To apply a pre-configured template, click Apply a template, then select the relevant template.
    2. Click Fair Work Information Statements to select which Fair Work statements to send to your employee to read and acknowledge.
    3. Click Policies to select which company policies or documents to send to your employee to read and acknowledge.
    4. Once done, click Mark Complete.
  7. (Optional) On the summary screen, override the welcome message to be included in the invitation email.
  8. Click Send invite.


It’s important to note that this will send the entire onboarding flow to the employee. We'll pre-populate some of the details for them for convenience.


What's next?

Review your employee’s onboarding status by visiting your dashboard and checking their progress under the Employees currently onboarding section.
