Introduction
Onboarding templates let you group the videos, policies and documents a particular set of employees needs, so you don’t have to select them one by one each time you send an invite.
For example, your carpenters may need to upload their White Card and sign your work health and safety policy, while your receptionists may not. Once you’ve added your documents to the content library, you can add them to a template.
How-To
- Navigate to your organisation on the Xonboard dashboard, select the settings icon and then select Onboarding templates.
- Click Create template.
- The name and description fields you now see are for your reference. We encourage you to add a description for the group of employees that you would like to use this template for. You may categorise them by role, seniority or location. Once done, click Submit.
- You should now see your new template. To add documents to the template, select Configure template.
- Add any videos, policies and documents for signature to your template:
Click the switch button next to the item you would like to add (for e-sign documents, press Add), and use the two lines beside it to arrange the order. Select Back when complete. - Update welcome videos: These are added through a YouTube link in the content library and are often used as a welcome or instructions in video form.
- Policies: Any policies for the employee to read and review during the onboarding process, such as an AUP (Acceptable Use Policy) or terms for a Working From Home agreement.
- Update e-sign documents: Any documents you would like the employee to sign.
- If you would like the employee to upload some information, select Documents. On this page, it is important to include the following:
To add a document: - Enter the name and description of the document. For example, you might include the document name e.g. "Drivers license", and in the description that they need to include both sides of their driver’s licence and make sure both the licence number and expiry are visible.
- Tick the This document is required box if you would like to make this document mandatory to upload.
- Once complete, click Save.
- Once complete, select Save template and then Back.
To create a similar template with a few changes, use the Clone button to duplicate an existing one.
If you’re having trouble uploading any of the documents mentioned in this article, see the related articles below.
