Introduction

Use Onboarding Templates to create targeted, reusable templates for employee onboards.

Onboarding Templates can be configured to collect documents from employees, such as a license, certificate or ID, share company policies for acknowledgement and to attach welcome videos to enhance their onboarding experience. 

⚠️ Onboarding templates are a paid feature of Xonboard and are currently being offered as a free trial until June 2026. For more information on billing please visit this link.

How-to

To set up a new onboarding template:

1. Navigate to the required organisation on your dashboard and open up the settings cog, then click Onboarding templates.
2. Click Create template.
3. Enter a template name and description, then click Submit.
4. Click Configure template.
5. To add a new document to the onboarding flow, click Collect new document:
6. 1. Enter a document name and description to be shown to the employee “e.g. Please upload a copy of your driver’s license”.
   2. (Optional) Check the box This document is required if you require this to be a mandatory step in the onboarding flow. 
7. Click Save.
8. To add a company policy to the onboarding flow, click Update policies:
9. 1. Click Add against each company policy you would like to show to the employee.
   2. Use the dragger to re-arrange the order, as needed.
   3. Hit Save policy selections.
10. To add a new onboarding video to the onboarding flow, click Add new welcome video:
11. 1. Enter a YouTube video URL.
    2. The video name and description will populate based on the provided URL, however, these can both be overwritten. 
12. Click Save.

Welcome videos will appear at the beginning of the employees onboarding. If you have added multiple videos, you can change the order of how these appear by clicking Move up or Move down as required.

You can add as many documents, policies and videos to the onboarding template as needed. 

At this stage Xonboard only supports YouTube video URLs. You may like to upload your welcome video to YouTube and set the permissions to private, keeping in mind that you may need to grant the employee permission to view the video.
